Job Summary:

Consulting and Testing Services, Inc. (CTSI) has provided Construction, Environmental, Health and Safety services to privately held companies, institutions and industries throughout the New York tristate area, as well as nationally, since 1992. We are a growing company with a dedicated team located in mid-town Manhattan, founded on one strong commitment: to provide efficient and expert services to our clients based on professionalism, innovation and cost-effective expert solutions.

CTSI is looking to fill full-time Administrative Assistant position.

RESPONSIBILITIES:

As an Administrative Assistant you will provide support to daily office operations within CTSI‘s Long Island office.

Key responsibilities include, but are not limited to:

  • Assist in the creation and review of project reports, proposal and bid document creation for a variety of ongoing projects.
  • Assist in project management through submitting governmental filings and insurance certification request 
  • Serve as an intermediary between other office staff, clients, laboratories, sub-contractors and CTSI‘s field staff.
  • Perform other administrative tasks such as document processing, answering phones, taking memos, and other ad-hoc administrative tasks as assigned.
  • Assists in scheduling projects, meetings, and/or conferences as well as provide assistance to Senior Project Executives.
  • Provide support in updating and maintaining records and data. 
  • Assist in the resolution of IT issues that arise within the office.
  • Assist with invoicing, accounts payable and receivable issues.

QUALIFICATIONS:

  • HS Diploma and at least 2-4 years of experience or Associate Degree and at least 2 years of experience, or Bachelor’s Degree in the field of Science. 
  • Proficiency in Microsoft Office. (Word, Excel, Outlook, and PowerPoint) required.
  • Basic familiarity in Adobe Acrobat. 
  • Knowledge in IT and computers helpful.
  • Must be self-motivated and proactive.
  • High degree of accuracy, organized and attention to detail.
  • Excellent communication skills. (written, verbal and customer service)
  • Demonstrates a sense of urgency and ability to meet deadlines.
  • Comfortable working independently and as part of a team.
  • Able to succeed in a fast paced environment. 
  • Punctual and professional.
