Job Description

Lakeside HR Group is recruiting an Administrative Assistant for our client headquartered south of Prior Lake MN. Our client is a leading name in the luxury custom home industry specializing in highend bespoke Off site construction projects ranging in size from 800 to 7000 square feet. With a commitment to quality and innovation they cater to discerning clients seeking exceptional craftsmanship and unique design solutions. As our client’s business continues to expand they are seeking a talented Administrative Assistant to join their team.

The administrative assistant will wear many hats and be an integral member of the team. This person must be highly organized and detailoriented to ensure the business operations run smoothly and efficiently. This is a great opportunity to assist the team with a diverse portfolio of projects and provide administrative support. Responsibilities:
While this role must be flexible adaptable and be comfortable jumping in where needed the role does have some key responsibilities these include but are not limited to the following:

  • Prioritize and coordinate a variety of tasks related to design projects maintaining an organized approach to handle multiple responsibilities simultaneously.

  • Maintain accurate precise and uptodate records of all communications tasks and design projectrelated documentation. Ensure that relevant information is effectively shared with team members and external partners as needed.

  • Work autonomously on tasks and projects with limited supervision and minimal guidance.

  • Adjust priorities and tasks based on the daily needs of the leader and the design projects at hand. Exhibit flexibility in taking on new and unexpected tasks with a positive attitude.

  • Act as a liaison between the leader design team and external partners including clients and vendors ensuring effective verbal and written communication and coordination to facilitate smooth operations and project progress.

  • Convey information clearly timely and professionally in all written and verbal communications.

  • Answer and direct phone calls or take messages for appropriate parties.

  • Draft proofread and edit correspondence including emails to clients and vendors with precision ensuring clarity and professionalism in all communication materials.

  • Manage the receipt of all incoming products and packages related to design projects. This involves coordinating with delivery services and ensuring timely and accurate receipt of items.

  • Record details of received items including quantities descriptions and any observed issues. Maintain an organized log of incoming and outgoing inventory to track the status and location of products.

  • Review and verify all received products packages and documents for accuracy completeness condition and adherence to standards.

  • Conduct thorough inspections for any damage to products or packages. Provide detailed information and documentation to support claims for replacement or repair.

  • Coordinate with vendors or suppliers to arrange for return replacement or repair of damaged items while ensuring timely resolution of issues to minimize disruption to design projects.

  • Maintain a wellorganized workspace for the leader ensuring that all necessary supplies documents and tools are readily available.

  • Contribute to the continuous improvement of office processes and project management practices. Provide feedback and suggestions for enhancing efficiency and effectiveness.


Requirements:

  • High School Diploma GED or equivalent.

  • 35 years of experience providing administrative support.

  • Advanced proficiency in Microsoft Office Suite including Outlook Teams and Excel with a focus on optimizing productivity and efficiency.

  • Strong problemsolving skills and the ability to leverage technology to support project management and administrative tasks.

  • Ability to make independent decisions daily addressing the best way to handle specific tasks.

  • Excellent communication and organizational skills with a proven track record of managing and prioritizing multiple tasks and projects in a fastpaced environment.

  • Exceptional focus on details and utilizing a proactive approach.

  • Ability to travel to Eagan and Farmington MN warehouses as needed to support business needs.
