Administrative Assistant to the Executive Assistant

In this role you will: - Greet guests and set them up for in-person meetings.
- Send meeting reminders and confirmations to CEO & President
- Book and confirm restaurant reservations.
- Manage site visit mapping.
- Run errands as needed.
- Order meals for NYC and when Executive Assistants are unavailable.
- Prepare lunch for weekly large meetings.
- Assemble interview packets and set up Zoom meetings.
- Follow up on meeting reminders and manage scheduling.
- Assist all Chiefs with administrative tasks (e.g., printing, scanning, faxing).
- Support board meetings for NYCBS and NYH, including booking dates and venues.
- Send out invitations and follow up with attendees.
- Responsibilities include coordinating political fundraising events: Oversee all aspects of political fundraiser planning and execution, including venue selection, guest list management, liaising with stakeholders, and ensuring compliance with relevant fundraising laws and regulations.
- Update and maintain Excel spreadsheets and other documents.
- Schedule meetings and calls, manage calendars, and arrange travel.
- Update Google documents and create reports.
- Ensure timely preparation and distribution of materials for board meetings.
- Maintain files, records, and corporate minutes.
- Communicate with medical offices, hospitals, and providers as needed.
- Provide backup support for the CEO and President when the Executive Assistant is out.
We require: - Bachelor’s Degree required.
- 1-2 years of experience in an administrative support role preferred.
- Strong organizational skills with the ability to manage calendars and records.
- Proven ability to maintain confidentiality and discretion.
- Experience in organizing meetings, budgets, travel, and office support.
- High performance in a fast-paced environment.
- Strong interpersonal skills with the ability to build relationships with stakeholders.
- Resourceful, proactive, and effective both as a team player and independently.
- Expert written and verbal communication skills, including grammar, spelling, and proofreading.
- Ensure reliable transportation for off-site tasks within the local area
- Proficiency in Google Suites Preferred (Word, Excel, PowerPoint, Outlook).
